Microsoft has begun rolling out a trio of innovative Microsoft 365 companion apps (People, File Search, and Calendar) designed to streamline workflows and boost productivity for Windows 11 users. These lightweight applications, integrated directly into the Windows 11 taskbar, provide quick access to essential tools, reducing the need to open full Office or Teams applications for routine tasks. Currently available in beta for Microsoft 365 Insider Program participants, the apps are set to enhance how business and enterprise users manage contacts, files, and schedules.
A New Approach to Productivity
The Microsoft 365 companion apps aim to minimize context switching, allowing users to stay focused on their tasks. By leveraging the power of Microsoft Graph, these apps pull data from Microsoft 365 services like OneDrive, SharePoint, Teams, and Outlook, offering a seamless and efficient user experience. Meet the Companion Apps
The suite includes three apps; each tailored to specific productivity needs:
- People Companion: This app allows users to quickly search for colleagues within their organization, browse organizational charts, and access contact information. With a Microsoft 365 plan that includes Teams, users can initiate chats, calls, or emails directly from the taskbar. Even without Teams, the app supports directory lookups, making it a versatile tool for enterprise communication.
- File Search Companion: Designed to simplify document management, this app enables users to search for files across OneDrive, SharePoint, Teams, and Outlook attachments using filters like filename, author, or keywords. Users can preview file contents, share documents, or access recently used files without opening full applications, saving valuable time.
- Calendar Companion: This app provides at-a-glance access to Microsoft 365 calendar events, allowing users to view upcoming meetings, join Teams calls, or search appointments directly from the taskbar. It’s built for quick interactions, reducing the need to navigate to Outlook for schedule-related tasks. Note that users without a Teams license may encounter an error when trying to access this app.
Deployment and Availability
The companion apps are currently in beta, available to Microsoft 365 Insider Program participants. They are exclusive to Windows 11 users with Microsoft 365 desktop apps installed and are limited to Enterprise or Business SKUs. Microsoft has confirmed that the apps will install automatically on eligible devices as part of the Microsoft 365 update process, with an option for administrators to opt out via the Microsoft 365 Apps admin center. However, opting out will not remove apps already installed, requiring manual intervention for removal. Once installed, the apps auto-launch at startup, though users can disable this feature in the app settings.
Security and Performance Considerations
The companion apps rely on Microsoft Graph to surface data, adhering to the same security and compliance frameworks as other Microsoft 365 services. Administrators are advised to verify that file previews, search results, and sharing actions align with their organization’s data loss prevention (DLP) and sensitivity label policies.
