Microsoft OneNote is a one stop solution for keeping all your notes on the PC. It helps to create sections, pages and integrate easily with other Office applications like Outlook. If you frequently use OneNote, knowing these useful keyboard shortcuts will increase your productivity.
Activating Keyboard Shortcuts
All Microsoft Office applications has in-built keyboard shortcuts for most of the menu items. However, this is not visible by default as the space on the ribbon is limited. You can activate the keyboard shortcuts by pressing one of the Alt keys on your keyboard. It will show further keys for using the functions like below.
This is very useful to quickly apply styles like Alt + H + 4 for strikethrough and Alt + D + N for inserting space.

- Ctrl + 5 – Highlight the selected content as definition tag
- Ctrl + 6 – Add highlight tag
- Ctrl + 7 – Add contact tag
- Ctrl + 8 – Add address tag
- Ctrl + 9 – Add phone number tag
Note: Tags shortcuts the default in OneNote. However, these shortcuts may vary if you have customized the tags and changed the sequence.
Shortcuts for Sharing Notes
- Ctrl + Shift + E – Send the selected pages as an e-mail
- Ctrl + Shift + K – Open the selected Outlook task
- Ctrl + Shift + 9 – Mark the selected Outlook task as completed
- Ctrl + Shift + 0 – Delete the selected Outlook task
- Ctrl + ALT + L – Lock all password protected sections
